Our ideal candidate will have 3 – 5 years of previous audiovisual technical production experience, specifically in setting up, operating, and striking all live audio, video, lighting, and staging equipment. Our clients are a range of corporate, hospital, healthcare, and nonprofit organizations, and they hold their events in hotels, conference centers, corporate offices, catering/event spaces, and outdoors. Our audiovisual engineers are detail oriented, have excellent communication skills, and a desire to produce successful projects that get results. As plans are in flux for the Spring season, we’ve beefed up our laptop inventory and streaming equipment to better support our hybrid and in-person events. We’ve also added on to our virtual platforms of Zoom, Hopin, and Onlinegalas.com, and are now offering Online Tables for our nonprofit fundraisers.

]]>We started September with mostly in-person events, with many of them outside. October had many more virtual events, and smaller audience in-person events. Then November had more hybrid events and larger in room audiences. On the virtual and hybrid side, we once again used our three main platforms: Zoom, Hopin, and Onlinegalas.com with great success.

All of that leads to two words – thank you. Thank you to all of our team members, the smiling faces of Corporate AV and Visual Word. Thank you to all of our venues and event spaces, like Stone Barns, Tarrytown House, Westchester Marriott, Sleepy Hollow Hotel & Conference Center, Brae Burn Country Club, and Sleepy Hollow Country Club. And thank you to all of our valued clients and long term partnerships. Everyone has had challenges during this short-handed Fall in the events community, but we all worked together to get it done!

]]>Safe In-Person Events
The biggest thing that we’ve heard from clients, partners, and venues is that the event must feel safe. I’ve personally been at events that feel completely safe and everyone is excited to be there, and I’ve also attended one that did not feel like anyone had considered people’s safety at all. It was really uncomfortable. We spoke to General Manager Kevin Johnson this week on AVX Live! about how his venue was handling In-Person and Hybrid events, some really interesting information.
For more information, check the CDC guidelines for organizing large events and gatherings. They actually have pages for both unvaccinated and vaccinated audiences.
Planning Ahead
The event industry is planning for a big fall and 2022 spring. We’ve seen a tremendous uptick in activity for Fall in-person and hybrid already. Our hospitality venues and event partners are excited, but are very short staffed due to having made major cuts to survive 2020 and the 1st quarter of 2021. What does that mean to you? Plan ahead and book your events NOW. Everyone will have a limited capacity in the next 6 months, and this is clearly a supply and demand business. It is especially complicated to plan a hybrid event, as it is really two events at once. You need to know what you want to accomplish and have time to determine the additional logistics involved. Our advice – plan and book now for October, November, December, and January.

]]>Hybrid Events Take 4 – The In-Person Side
Last time we spoke about the two audiences, so we wanted to provide a little more here. For the In-Person production, there are several key items. #1 – the internet. We need (2) hardlines with minimum upload and download speeds, which not every venue can provide that. #2 – cameras and lighting. There needs to be at least 1 camera, (more = more interesting) and there needs to be stage lighting. The camera usually needs more light than your eyes to process the information well. #3 – skilled team. You need people who know how to do this, and who are not learning on the job. Sending audio and video in synch back and forth online, while processing it in the room at the same time, can be challenging.
Hybrid Events Take 5 – The Online Audience
The online audience needs information to be broken into manageable chunks – think short sessions, as opposed to long sessions. And they need to feel like they are important and not an afterthought. The last year has proven not only that people are engaged online, but that they can learn and communicate online. So take advantage of that. That is where multiple cameras, and interesting graphics can help in the main session. They need to be entertained more than just a talking head, or they may not stay. Also think about how they can communicate with your presenters and in-person audience. That seems like a tremendous opportunity.
Hybrid Events Take 6 – How to Use the Platforms
Each event and purpose is a little bit different. Can we just take the live feed from the in-person event and stream it? Absolutely. One direction, no problem – Youtube/Facebook for public events, and a branded website for private events. One thought though – no audience engagement, they are just watching a video. A great solution for many events, but not all.
What about sending the stream to Zoom or Teams? Yes, excellent meeting platforms. Just remember, lower resolution. The advantage is that people can communicate back if allowed, and their chats/questions can be acknowledged. With some magic and extra tech, we can even show that audience onscreen if appropriate.
How about Hopin? Another great choice. Then we can get a much higher quality, and they can communicate with the other online people in a much more engaging way. Plus there is now an app for the in-person audience.
There are many things to consider, but working with your production team is usually the best start. Develop your concept, your key goals, and budgets, and then let’s get started!

]]>Hybrid Events Take 1 – The Main Variables
A hybrid event has 2 main variables that need to be considered: 1. The presenters – live or remote. 2. The audience – live or remote. From that point you need to consider the biggest difference is in the interaction and communication going back and forth. Its not only the presenter that needs to communicate, the audience needs to be able to connect as well. Most events will become some blend of these two variables, so it helps to understand why it’s challenging. For a great article and description on this, see Craig Janssen’s blog.
Hybrid Events Take 2 – Two Audiences
A reminder that a hybrid event, a combination of an in-person audience and an online audience, has two different audiences. That gives you the ability to give them two different experiences or try and give them the same experience. Which makes sense for your event? Do you charge two different ticket prices, based on the value and experience delivered? Do you split the event up into a main keynote/general session/program that is streamed, but have interactive groups in-person? There are many ways to provide value above food and networking. Think audience experience.
Hybrid Events Take 3 – Cast a Wider Net
While your in-person audience will probably reach a very traditional customer base for you, why not open the door to the much bigger and accessible online community? New markets, new territories, new opportunities. The ballroom has a clearly stated capacity, that can not increased. The internet does not. As our guest on AVX Live! said: “cast a bigger net”. You could develop entirely new programs based on this online community – just as we have! And that wider net does not only mean audience, but presenters/speakers as well. You can go bigger or you can narrow your focus – your choice.
