The below steps should be followed to remove your current company mailbox from your Android device.

These steps should only be completed once your mailboxes has been migrated to Exchange Online.

Please note that the settings may vary slightly based on the version of Android Operating System and device manufacturer.

Removing your Microsoft Exchange mailbox

If you are using the built in Android Mail/Gmail App, please follow the below steps.

Note:  You may have multiple email accounts on your device, so please make sure that you only delete the account associated with your company mailbox.

  • Open your Android device’s Settings app (usually a gear icon).
  • Scroll down and tap on Accounts (or Passwords & accounts, or Users & accounts, or Backup & Accounts, depending on your device manufacturer and Android version).
  • You will see a list of accounts linked to your device. Tap on the Exchange account for your company email, tap Remove account (or Delete account) Note: This might be directly visible or under a More options menu (three vertical dots).
  • Confirm the removal when prompted. You may need to enter your phone’s PIN or password. 

 If you are using the Microsoft Outlook app on your Apple device, then please follow the below steps..

  • Open the Outlook app.
  • On the Tools menu, click Accounts. The Accounts window opens.
  • In the Accounts window, click the Exchange Account you want to delete, then click the minus sign (-) below. A Delete warning window opens.
  • In the Delete warning window, click Delete to finish. You have successfully deleted your Exchange account.

Adding your Microsoft Exchange Online mailbox

  • Open your device’s Settings app.

Select File from the top menu bar, select Account Settings and then Manage Profiles.

Now click Show Profiles.

Click Add to create a new mail profile.

Enter a new profile name when prompted.  We recommend prefixing your name with ‘M365 –‘

Enter the email address associated with your primary mailbox, and make sure that your name is entered as required.

If your email address has been registered as both a Personal and Work or school account with Microsoft, you will be prompted to select which account.  Please select Work or school account when prompted.

When prompted regarding staying signed in to all your apps, please select OK.

Your new mail profile has now been created.

You now need to tell Microsoft Outlook to use your new mail profile that begins with ‘M365 -‘ when opening the application.  Simply select Always use this profile and then click Apply followed by OK.

You can now open Microsoft Outlook to access to your M365 mailbox.

Please note that your mailbox will need to update the local cached contents, which will take some time (Internet speed dependent).

We have experienced issues with customers who have a Talk Talk Internet service at home.  VPN connections are unable to connect, and users are unable to establish a connection via remote support tools, including the tools used by the team at Readycrest.  The Talk Talk HomeSafe service is enabled by default and is blocking these services from working.

How to turn off HomeSafe

1. Log into your TalkTalk Account.

2. Click View HomeSafe settings from the “My Services” drop-down menu bar.

3. This will show you what is currently on/off.

4. Switch the Kidsafe and Scam Protection settings to off.

Note:  You can only transfer Microsoft Authenticator between phones on the same platform.  You can’t move your accounts from an iPhone to Android or vice versa.

Step 1 – Upload your Microsoft Authentication data on your old phone to the cloud.

You must start by backing up Microsoft Authenticator on your current mobile device to the cloud.

If you use an iPhone, the data is uploaded to iCloud and secured with your Microsoft Account credentials. On Android phones, the information is stored on Microsoft’s online servers.

  1. Open Microsoft Authenticator on your old device.
  2. Open the Authenticator menu—tap the three stacked lines (iPhone) or three-dotted icon (Android).
  3. Select Settings.
  4. Activate the cloud backup option for your device—iCloud Backup (iPhone) or Cloud Backup (Android).
  5. Wait for the notification that reveals the recovery account (if you use multiple Microsoft Accounts) being used to secure or back up your data.
  6. Tap OK.

Step 2 – Transfer Microsoft Authenticator to the New Phone 

You’re ready to transfer your Microsoft Authenticator data to your new phone. Please do not remove any of your accounts or the Microsoft Authenticator app from the old phone until you are happy that all is working on your new device.

If you’re moving to a new iPhone, make sure to sign into the device with the same Apple ID as your old iPhone.

  1. Download Microsoft Authenticator from the Apple App Store or Google Play Store.
  2. Open the Microsoft Authenticator app, agree to its license terms, and skip any prompts to sign in.
  3. Tap Begin Recovery (scroll down if you don’t see the option).
  4. Enter the recovery account email address linked to your Microsoft Authenticator backup.
  5. Enter the verification code you receive on your old mobile device. Or, authenticate the recovery account via an alternative MFA (multi-factor authentication) method such as email, SMS, or password.

    If you use Outlook for iOS or Outlook for Android and have been granted delegated access to a shared mailbox, you can add these shared mailboxes within the Outlook app.

    Use a shared mailbox on a mobile device (phone or tablet)

    If you need to download the Outlook App, this can be found within the Apple Store or Google Play store.

    Once the apps has been installed, please follow the below steps to access access a shared mailbox from a mobile device.

    • Sign in to your primary mailbox to your primary account in Outlook for iOS or Android.
    • Tap the Add Account button in the left navigation pane, then tap Add a Shared Mailbox.

    If you have multiple accounts in Outlook Mobile, select the account that has permissions to access the shared mailbox.

    After the account setup process completes, the shared mailbox will display in your account list in Outlook for iOS or Outlook for Android.

    To remove a shared mailbox, go to Settings > Accounts. Then tap on the shared mailbox and select Delete Account.

    Windows 7 reached end of support just over 3 years ago, and it’s almost time for another Microsoft operating system to bite the dust.  Windows 8.1 will be reaching its end of life on the 10th January 2023.

    In terms of what end of support means for Windows 8.1, Microsoft will no longer offersecurity updates or technical support following the Operating Systems end of life.  Windows 11 is recommended, but it is important to note that Windows 10 is still an option and will be supported until October 14, 2025.

    Some users prefer to open Microsoft Office documents via the Office web apps, others prefer the Office desktop apps.

    By default, documents will open using web apps.

    You can change this behaviour by opening Word, Excel or PowerPoint and going to File >Options >Advanced >Link Handling and selecting ‘Open supported hyperlinks to Office files in Office desktop apps’

    This feature works for links to Word, Excel, or PowerPoint files, stored on OneDrive or SharePoint, that you click in Word, Excel, Outlook, or PowerPoint for Microsoft 365 on Windows or Mac.

    Once a user turns this feature on, it will apply to all three apps – Word, PowerPoint, and Excel.

    If you are using a Mac you can change the setting by going to Preferences > General > Link Handling.

This helps you quickly manage your mailbox. For example, if you frequently move messages to a specific folder, you can use a Quick Step to move the message in one click. Or, if you forward messages to your manager or peers, a one-click Quick Step can simplify the task.

    Quick Steps or Quick Steps icon

    The Quick Steps included with Outlook can be customized. You can also create your own to make a Quick Steps gallery of mail actions that you take most often.

    Default Quick Steps

    You can customize any of the default Quick Steps. When you use some Quick Steps for the first time, you are prompted to configure them. For example, if you want a Quick Step to move messages to a certain folder, you must specify the folder before you can use the Quick Step.

    Default Quick Steps in Outlook include the following:

    Quick StepAction
    Move to:Moves the selected message to a mail folder that you specify and marks the message as read.
    To ManagerForwards the message to your manager. If your organization uses Microsoft Exchange Server or Microsoft 365, your manager’s name is detected in the Global Address List and inserted in the To box, or you can specify the recipient.
    Team E-mailForwards the message to others in your team. If your organization uses Microsoft Exchange Server or Microsoft 365, your team members names are detected in the Global Address List and inserted in the To box.
    DoneMoves the message to a specified mail folder, marks the message complete, and then marks it as read.
    Reply & DeleteOpens a reply to the selected message, and then deletes the original message.
    Create NewCreate your own Quick Step to execute any sequence of commands, name it, and then apply an icon to help you identify it.

    To configure or change existing Quick Steps, do the following:

    1. In Mail, select Home.
    2. In the Quick Steps group, select the More Dialog Box Launcher button on the ribbon arrow at the side of the Quick Steps box to open Manage Quick Steps.
    3. In the Quick Step box, select the Quick Step that you want to change, and then select Edit.
    4. Under Actions, change or add the actions that you want this Quick Step to do.
    5. If you want, in the Shortcut key box, select a keyboard shortcut that you want to assign to that Quick Step.
    6. If you want to change the icon for a Quick Step, select the icon next to the Name box, select an icon, and then select OK.

    Create a Quick Step

    1. In Mail, select Home.
    2. In the Quick Steps group, in the Quick Steps gallery, select the Create New Quick Step.
    3. In the Name box, type a name for the new Quick Step.
    4. Select the icon button next to the Name box, select an icon, and then select OK.
    5. Under Actions, choose an action that you want the Quick Step to do. Select Add Action for any additional actions.
    6. To create a keyboard shortcut, in the Shortcut key box, select the keyboard shortcut that you want to assign.

    Note: New Quick Steps appear at the top of the gallery on the Home tab in the Quick Steps group. Although changed Quick Steps keep the same location in the gallery, you can rearrange them in Manage Quick Steps.

    1. Close the Microsoft Teams Application
    2. Open the Run dialog box by pressing the Windows logo key +R.
    3. In the Run dialog box, enter %appdata%\Microsoft\Teams, and then select OK.
    4. Delete all files and folders in the %appdata%\Microsoft\Teams directory. Note: You might decide to CUT the contents of the folder and then PASTE into a temporary folder on your desktop, although this shouldn’t be necessary.
